1. Who We Are

ToolfolioHub (the "Site") is a portfolio and free tools website operated by Mahin Kadery, a Bachelor of IT student based in Australia. The Site is located at toolfoliohub.com and provides a collection of free, privacy-focused web tools alongside a personal portfolio showcasing skills, projects, and studies.

If you have questions about this Privacy Policy or wish to exercise your privacy rights, please contact us at:

Email: contact@toolfoliohub.com

2. What This Policy Covers

This Privacy Policy explains how ToolfolioHub collects, uses, stores, and protects information when you visit our website and use our tools. It covers:

  • The main portfolio pages (home, about, projects, studies, contact)
  • All free tools available in the Tools directory at /tools
  • Any subpages or related services we provide

This policy applies to ToolfolioHub only. It does not cover third-party websites, tools, or services that we link to, which have their own privacy policies.

3. Information We Collect

3.1 Information You Provide Directly

Contact Form: When you submit the contact form on our contact page, you provide:

  • Your name
  • Your email address
  • Your message content

This information is sent to and processed by Web3Forms (a third-party form processing service) and is then delivered to our email inbox for the purpose of responding to your enquiry. Web3Forms may also collect technical information such as your IP address and browser details for spam prevention and security purposes.

3.2 Information Collected Automatically

Server Logs: Our hosting provider (Vercel) automatically collects standard web server logs, which typically include:

  • IP addresses
  • Browser type and version
  • Device information
  • Pages visited and URLs accessed
  • Timestamps of visits
  • Referring URLs (where you came from)

These logs are used for security, performance monitoring, debugging, and preventing abuse. They are managed according to Vercel's standard practices and retention policies.

3.3 Information Processed Locally in Your Browser

Client-Side Tools: Most of our free tools (such as the Word & Character Counter, PDF tools, text converters, and calculators) run entirely in your web browser using JavaScript. When you use these tools:

  • Your input (text, files, etc.) is processed locally in your browser
  • No data is sent to ToolfolioHub servers or third parties
  • We do not store, log, or analyze your content
  • To the best of our knowledge, your privacy is fully protected for these tools

Exception: The "Video Downloader" tool uses an Apify proxy service, which may process the URLs you provide through Apify's platform. Please refer to Apify's privacy policy if you use that specific tool.

4. How We Use Your Information

We use the information we collect for the following purposes:

  • To respond to enquiries: Contact form submissions are used solely to respond to your messages and communicate with you.
  • To operate and maintain the Site: Server logs help us monitor performance, troubleshoot issues, and ensure the Site functions correctly.
  • To prevent abuse and spam: Technical information collected by Web3Forms and hosting logs are used to prevent spam, fraud, and malicious activity.
  • To improve the Site: We may analyze aggregated, anonymized usage patterns to improve tool functionality and user experience.

We do not use your information for:

  • Marketing or promotional emails (unless you explicitly request them)
  • Profiling or behavioral tracking
  • Selling or renting your personal information

5. Legal Bases (For EU/UK Visitors)

If you are located in the European Union or United Kingdom, our processing of your personal data is based on:

  • Consent: When you submit the contact form, you consent to us processing your name, email, and message to respond to your enquiry.
  • Legitimate Interests: We process server logs and technical data to operate a secure, functional website and prevent abuse. This serves our legitimate interests in maintaining the Site and protecting it from malicious activity.
  • Legal Obligations: We may process and retain information if required by applicable laws or regulations.

6. Sharing and Third-Party Recipients

We may share your information with the following third-party service providers:

6.1 Form Processing: Web3Forms

Contact form submissions are processed by Web3Forms (web3forms.com), which handles form data transmission and email delivery. Web3Forms' privacy practices are governed by their own privacy policy. To the best of our knowledge, Web3Forms processes data for the sole purpose of delivering your messages to our inbox.

6.2 Hosting and Infrastructure: Vercel

Our Site is hosted on Vercel (vercel.com), which processes server logs and technical data as part of standard web hosting services. Vercel's privacy policy applies to their processing of infrastructure data.

6.3 Email Provider

Contact form messages are delivered to our email inbox (hosted by an email provider such as Gmail, iCloud, or similar). Your email provider's privacy policy applies to how messages are stored and managed in our inbox.

6.4 Content Delivery Networks (CDNs)

We use third-party CDNs to deliver assets such as fonts (Google Fonts), CSS frameworks (Tailwind CSS), and JavaScript libraries (Lenis smooth scroll). These services may collect standard web request information. Please refer to their respective privacy policies:

6.5 Legal and Regulatory Authorities

We may disclose information if required by law, regulation, legal process, or government request, or to protect the rights, property, or safety of ToolfolioHub, our users, or others.

We do not sell or rent your personal information to third parties.

7. International Data Transfers

ToolfolioHub is operated from Australia. However, our service providers (Web3Forms, Vercel, email providers, CDNs) may process data in other countries, including but not limited to the United States, European Union, and other jurisdictions.

We take reasonable steps to ensure that service providers handle your information in accordance with applicable privacy laws. By using our Site, you acknowledge that your information may be transferred to and processed in countries outside your country of residence, where data protection laws may differ.

8. Data Retention

  • Contact Form Data: Contact emails are retained in our inbox for as long as reasonably necessary to respond to enquiries and maintain records. We may delete old messages periodically, but there is no fixed retention period.
  • Server Logs: Standard server logs are retained by our hosting provider (Vercel) according to their standard practices, typically for a limited period (e.g., 30-90 days) unless required for security or legal purposes.
  • Client-Side Tool Input: As most tools run entirely in your browser, we do not store any tool input data on our servers.
  • LocalStorage Data: Some tools may store preferences or temporary data in your browser's localStorage (e.g., dark mode preference, clipboard snippets). This data remains on your device and can be cleared by you at any time using browser settings or our LocalStorage Inspector tool.

9. Your Rights

Depending on your location, you may have certain rights regarding your personal information:

  • Right to Access: You can request a copy of the personal information we hold about you.
  • Right to Correction: You can ask us to correct inaccurate or incomplete information.
  • Right to Deletion: You can request that we delete your personal information, subject to legal and operational requirements.
  • Right to Object: You can object to certain processing activities, such as processing based on legitimate interests.
  • Right to Restrict Processing: You can request that we limit how we use your information in certain circumstances.
  • Right to Data Portability: Where applicable, you can request a copy of your data in a structured, machine-readable format.
  • Right to Withdraw Consent: If processing is based on consent, you can withdraw consent at any time.

To exercise these rights, please contact us at contact@toolfoliohub.com. We will respond to your request within a reasonable timeframe and in accordance with applicable laws.

Note for Australian Residents: If you are in Australia, your rights are primarily governed by the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs). While small personal websites may be exempt from some APP obligations, we aim to be transparent and respectful of your privacy.

10. Cookies and Local Storage

10.1 Cookies

ToolfolioHub does not currently set any cookies for tracking or analytics purposes. However, standard HTTP cookies may be set by:

  • Your browser (for standard web functionality)
  • Third-party CDN providers (e.g., Google Fonts may set cookies)
  • Our hosting provider (for technical functionality)

If we introduce analytics cookies or other tracking cookies in the future, we will update this policy and, where required by law, obtain your consent before using them.

10.2 Local Storage

We use localStorage (a browser storage mechanism) for the following purposes:

  • Theme Preference: We store your dark/light mode preference in localStorage so the Site remembers your choice across sessions. This is a functional preference stored only on your device and is not used for tracking.
  • Tool-Specific Storage: Some tools (such as the Multi-Clipboard or LocalStorage Inspector) may store data in localStorage as part of their functionality. This data remains on your device and is controlled by you.

You can clear localStorage at any time using your browser settings or by using our LocalStorage Inspector tool.

11. Security

We implement reasonable technical and organisational measures to protect your information against unauthorised access, loss, destruction, or alteration. These measures include:

  • Using HTTPS encryption for all data transmission
  • Relying on reputable hosting and service providers (Vercel, Web3Forms) with their own security measures
  • Keeping software and dependencies up to date
  • Limiting data collection to what is necessary

However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. By using our Site, you acknowledge that you provide information at your own risk.

12. Third-Party Links and Tools

Our Site includes links to third-party websites and tools, such as:

  • External tool resources or websites linked from our Tools directory
  • Social media profiles (LinkedIn, GitHub)
  • External projects or resources referenced in our portfolio

These third-party sites have their own privacy policies and practices. We are not responsible for the privacy practices of external websites. We encourage you to review the privacy policies of any third-party sites you visit.

13. Children's Privacy

ToolfolioHub is not directed at children under the age of 13 (or the applicable age of consent in your jurisdiction). We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a child, please contact us immediately at contact@toolfoliohub.com so we can delete it.

14. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or the features of our Site. When we make changes, we will:

  • Update the "Last updated" date at the top of this page
  • Post the revised policy on this page
  • For material changes, we may provide additional notice via email (if we have your contact information) or a prominent notice on the Site

Your continued use of the Site after any changes constitutes acceptance of the updated Privacy Policy. We encourage you to review this page periodically.

We aim to respond to privacy-related enquiries within a reasonable timeframe.

This Privacy Policy is provided for informational purposes and reflects our commitment to transparency about data practices on ToolfolioHub. While we strive to comply with applicable privacy laws (including the Australian Privacy Act and GDPR principles), this policy does not create contractual rights beyond those required by law. This is a small, personal portfolio and tools website, not a large-scale commercial service. If you have specific legal concerns, please consult with a qualified legal professional.
